Job Description


The responsibilities of this individual are designed to improve group revenues and enhance yielding of hotel function space with success being measured by increased top line banquet / catering revenues and forecast accuracy. This individual will analyze short and long term forecasting as well as audit function space controls to ensure effective use of meeting space.


* Work with DOSM, DOS, DOC and DOMS to revise, and update booking guidelines
* Review every booking outside of booking guidelines to analyze appropriateness of space
* Review every contract and addendum to ensure appropriate Rooms/Space relationship and provide analytics to the impact of the space commitment for specific groups
* Review all space release with DOS to make recommendations and approve
* Review all additions to space outside of the contract and approve
* Review and track any lost/turn-down business due to space
* Review space use of groups on the books to ensure that Space is being condensed appropriately
* Review Booking Change report for changes to function space of groups already blocked
* Generate organized historical tracking of meeting space and rooms/space ratios
* Consults with Sales managers, Catering managers and room block to space ratio to maximize total capacity of hotel function space.
* Daily function space audit for 30 day window to ensure we are blocking space effectively, minimizing tight turns, maximizing new booking opportunities and reducing energy costs
* Weekly function space audit for 90 day window to review space conflicts, holds, setup/teardown, program due dates, F&B Revenue, and space to open
* Monthly function space audit for 1 year booking window reviewing space conflicts, holds, setup/teardown, program due dates, F&B revenue, and space to open
* Audit two year booking window every July and December
* Assist with resolution of space conflicts
* Review all tentative bookings prior to turning definite
* Review and approve all sales files prior to DOC turnover
* Works closely with DOSM & DOMS in communicating and developing pricing and inventory strategies directing the sales effort
* Update catering free-sell calendar outlining one-day/one-night ballroom holes on a monthly basis
* Attend BE, end of month strategy meetings, and report audit results in tentative review meetings
* Outline space opportunities by time frame to discover need dates and key dates
* Bi-Monthly project review meeting with DOSM, DOS, DOC, and DOMS to report on actions from previous weeks and invite feedback
* Work with DOSM & DOMS on projects regarding revenue and profitability
